Running a more organized tree service business
Tree work isn’t forgiving. If one detail is missed, it can get expensive or dangerous fast.
For Danielle Russell, co-owner of The Tree Lady Company, the shift to Jobber came down to better communication and scheduling. “I think the biggest reason is the ability to communicate and schedule more efficiently than we used to,” said Danielle.
Their teams brought in about $875,000 per year. In the first year after switching to Jobber, they hit just over $1 million. Today, revenue is up about 25%.
We’re making more now than ever before, and we are doing it more efficiently with a smaller team.
Switching software without slowing down
With 15,000 clients in their database, switching systems was a big risk. Danielle spent eight months researching options before choosing Jobber.
What made the difference was support during migration.
When I found out that Jobber was willing to help transfer those clients over, that was incredible for us.
With the data moved and workflows in place right away, the team could stay focused on running jobs and not rebuilding systems.
A morning huddle powered by the mobile app
For The Tree Lady Company, every day starts at 6:30 am. Crews gather for a quick morning huddle, and the Jobber mobile app is at the center of it. “Everyone pulls out the app, opens the visit, and we review it together, so we’re all looking at the exact same information,” said Danielle.
Every client visit includes details like:
- Client name, address, and contact info
- Line-by-line scope of work
- Photos of each tree
- Written specs and notes
- Access details (including things like septic tanks)
- Safety considerations
This alignment matters in tree work because when communication breaks down, mistakes happen. The Jobber mobile app became the perfect shared reference point.
If one person misses a detail or hears it slightly differently, you get a different result. And in tree work, that’s not just annoying. It can get expensive really fast, or be really dangerous.
Documenting in the field protects the business
Information used to live everywhere for Danielle. “A bit in someone’s text, a bit in a phone call, a sticky note, somebody’s memory.”
Now everything is tracked in one system. If a crew notices a cracked driveway or broken irrigation line, they can easily:
- Add a detailed note
- Attach a photo
- Mark it up (including things like tree type and exact location)
- Add clear instructions
- Timestamp it automatically
Now the team just logs it into Jobber as a note, attaches a photo.
They can add markups to the photo to be super clear, and it’s automatically timestamped right when it’s noticed.
For The Tree Lady Company, that documentation protects them and removes disputes. “It’s clear, it’s documented, and it’s no longer really possible for us to be disorganized,’ said Danielle.
Quotes that carry through to the job
Estimates used to require printers, manual typing, and multiple copies. Now, detailed quotes with line items in Jobber are built onsite and sent instantly.
I was able to complete my quote and send it to the customer via email or text.
Typical line items include:
- Tree diameter measurements
- Equipment requirements
- Property constraints
- Access notes
- Photos
When a quote converts into a job, all of that information carries forward automatically, too. This means crews execute the exact scope promised to the client with no surprises and no miscommunication. “Everything [co-owner] Kim captures in Jobber during the quoting process carries through when we convert that quote into a job,” said Danielle.
Scheduling that fits more work into every day
For Danielle, scheduling efficiency is directly tied to revenue. Jobber’s scheduling feature helps her build better routes and fill gaps based on travel time.
I’m actually able to use the Find a Time feature to pick the best opening based on travel time, which lets us schedule more work every day.
When the office makes changes, crews also see it immediately. “We use team push notifications, so when I make a change here in the office, the crew is notified in real time that they’ve got a new stop for the day.”
Real-time visibility across multiple crews
With multiple teams out on different job sites, constant check-ins don’t scale. But with Jobber, Danielle doesn’t have to guess anymore.
From her desktop, she can keep her team on track and see:
- GPS waypoints
- Time tracking
- Notes and updates
- Job progress
- Timestamps
When you’ve got multiple crews out on different sites, you need to know what’s happening without constantly calling and checking in.
If a $2,000 job should take five to six hours with a five-person team, she knows where they stand in real time. This level of visibility allows her to:
- Route crews efficiently
- Add stops when possible
- Protect margins
- Prevent overruns
Faster invoicing and on-site payments
Danielle used to spend her evenings trying to remember invoices, paperwork, and calls. With Jobber invoicing, crews complete a job, and invoices are sent immediately.
When my guys stop their job timer or they finish the job form, I’m able to know that they are finished with the job and I can go in and invoice.
Her crews can easily:
- Generate invoices onsite
- Accept credit card or ACH payments
- Use tap to pay
- Collect tips
Because everything is connected, from time tracking to job costing to invoicing, billing matches reality, and payments happen faster. “The best way to guarantee that you’ll get payment is to collect onsite,” said Danielle.
A calmer, more predictable tree care business
Before Jobber, Danielle would often stay in the office until six or seven at night. Today, she can handle issues remotely and leave at four.
Now that I’ve got Jobber, if anything does come up, I can usually handle it from home. It just runs.
The Tree Lady Company now runs with more clarity, and Danielle’s crews feel confident, her customers feel informed, and the office sees everything in real time.
From $875K to $1M+ and growing
For Danielle and her co-owner, Kim, who has over 40 years in the tree industry, Jobber isn’t just about efficiency.
It’s about building a sustainable business for the long-term. “With or without me, if my employees have the program, then they have an education still,” said Danielle.
By improving communication, scheduling, and documentation with Jobber, The Tree Lady Company grew a stronger, safer, and $1 million+ tree care operation.
